Tauber Oil Company is accepting applications for Executive Assistant.

POSITION SUMMARY: This role will be responsible for a broad variety of administrative tasks including managing an active calendar of appointments; completing expense reports; composing and preparing correspondence that is often confidential; arranging complex and detailed travel plans for domestic and international travel, answering phones, filing, & data entry.

▪ Works closely and effectively with the Executives to keep them well informed of upcoming commitments and responsibilities and follows up appropriately. Stays on hand to be apprised of information concerning business associates, customers & vendors in order to provide information and details as requested.
▪ Provides a bridge between the Executive office and internal departments; plans, coordinates and supervises both parties’ schedules. Provides “gatekeeper” and “gateway” role to efficiently help them utilize time and complete tasks.
▪ Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects and tasks to completion, often with deadline pressures. Determines appropriate course of action, referral, or response.
▪ Maintains corporate database that is utilized for invitations and information. Assists with corporate luncheons and corporate functions. Prepares meeting materials and creates presentations as needed. Procures gifts and items as needed on behalf of the Executives.
▪ Often utilized to assist with various tasks and events throughout the year (as requested).
▪ Prepares company memorandums, corporate news releases, and personal and business letters of recommendation.

▪ 3+ years of experience as an executive assistant supporting one or more senior level executives

Other skills, attributes, and abilities:
To be successful in this position, the ability to work with minimal supervision and exercise initiative is a baseline requirement. Ability to maintain confidentiality is crucial. Outstanding verbal and written communication skills are also essential. Ability to communicate formally and informally to a wide variety of audiences from the executive level, managers and employees is critical. Ability to work on multiple tasks without sacrificing quality as well as the ability to function with frequent interruptions, accept change and prioritize activities when faced with competing demands is required. The incumbent must also be detail oriented with excellent organizational skills.
